Please avoid providing sensitive personal information unless it is genuinely necessary for your enquiry or event.

3. How we collect information

We may collect information:

  • when you submit a website contact form;

  • when you email, telephone or message us;

  • when you request or accept a quotation;

  • when you make a booking or payment;

  • through your venue, wedding planner, event organiser or another representative;

  • when you choose to receive marketing communications;

  • through website cookies and similar technologies; and

  • through services embedded in the website, such as YouTube.

4. How we use your information

We may use your information to:

  • respond to enquiries;

  • check availability;

  • prepare and send quotations;

  • manage bookings and contracts;

  • arrange timings, music and practical requirements;

  • communicate with venues, planners and relevant suppliers;

  • process and record payments;

  • provide the agreed performance;

  • comply with tax, accounting and legal obligations;

  • resolve questions, complaints or disputes;

  • maintain the security and operation of the website;

  • understand how the website is used; and

  • send marketing where you have consented or where otherwise permitted by law.

5. Our lawful bases

We rely on one or more of the following lawful bases:

Contract

We use information where it is necessary to respond to steps you ask us to take before entering a contract, or to perform a confirmed booking.

Legitimate interests

We may use information where reasonably necessary to operate and protect the business, manage enquiries, maintain records, improve services and respond to disputes.

When relying on legitimate interests, we consider whether your rights and interests override ours.

Legal obligation

We retain or use certain information where required for tax, accounting, insurance or other legal purposes.

Consent

We rely on consent for activities such as optional email marketing and certain non-essential cookies or embedded services. You may withdraw consent at any time.

6. Who we share information with

We do not sell personal information.

Where necessary, information may be shared with:

  • musicians performing as part of Quattro String Quartet;

  • venues, registrars, celebrants, wedding planners and event organisers;

  • payment, banking and accounting providers;

  • website and email service providers;

  • IT and technical support providers;

  • insurers and professional advisers;

  • government bodies, regulators or law-enforcement agencies where legally required; and

  • other suppliers needed to deliver the booking.

Only information reasonably necessary for the relevant purpose will be shared.

7. Squarespace and website hosting

The website is built and hosted using Squarespace.

Squarespace may process technical and website information to provide hosting, security, forms and related services. Its handling of information is governed by its own contractual and privacy arrangements.

Contact-form submissions may be stored within Squarespace and may also be forwarded to Quattro String Quartet by email.

8. YouTube videos

The website includes videos hosted by YouTube.

When a YouTube video is loaded or played, YouTube or Google may receive technical information and may use cookies or similar technologies. This can include information about your browser, device and interaction with the video.

Where required, these videos should not load until you have made an appropriate cookie choice.

Using YouTube’s privacy-enhanced embed domain can reduce some tracking before playback, but it does not remove the need to assess the cookies and technologies involved.

9. Cookies

Cookies are small files or similar technologies placed on or accessed from your device.

The website may use:

Essential cookies

These are required for security, navigation, form operation and core website functions.

Analytics cookies

These help us understand how visitors use the website.

Media and third-party cookies

These may be used by embedded services such as YouTube.

Preference cookies

These may remember choices made during a visit.

Where consent is required, non-essential cookies will not be used until you accept them. You should be able to reject them and change your preferences later.

The ICO states that users must be told what website technologies do and that prior consent is generally required unless an exception applies. Refusing non-essential technologies should be as easy as accepting them.

10. Marketing

We will only send marketing emails where we have an appropriate lawful basis.

Where you have consented, you may unsubscribe at any time by:

  • using the unsubscribe link in the email; or

  • contacting info@quattro-strings.co.uk.

Withdrawing from marketing will not affect communications needed to respond to an enquiry or manage a booking.

Marketing consent should be kept separate from accepting booking terms or submitting a general enquiry.

11. How long we keep information

We keep personal information only for as long as reasonably necessary.

  • enquiries that do not become bookings: 12–24 months

  • booking correspondence and event information: six years after the event

  • invoices and accounting records: six years after the relevant financial year

  • marketing information: until consent is withdrawn or the information is no longer current;

  • website technical information: according to the retention periods used by Squarespace and any analytics provider;

  • photographs and recordings: for as long as they remain relevant and permission remains valid.

Information may be retained longer where required for legal claims, insurance matters or regulatory obligations.

The final policy should state actual retention periods rather than leaving them indefinite.

12. International transfers

Some technology suppliers, including Squarespace, Google and YouTube, may process information outside the United Kingdom.

Where personal information is transferred internationally, we will rely on appropriate safeguards required by UK data-protection law, such as an adequacy regulation or approved contractual protections.

13. Security

We take reasonable organisational and technical steps to protect personal information from loss, misuse, unauthorised access, alteration or disclosure.

However, no internet transmission or electronic storage system can be guaranteed to be completely secure.

14. Your rights

Depending on the circumstances, you may have the right to:

  • request access to your personal information;

  • ask for inaccurate information to be corrected;

  • request deletion of your information;

  • ask us to restrict how information is used;

  • object to certain uses of your information;

  • receive certain information in a portable format;

  • withdraw consent; and

  • complain about how your information has been handled.

These rights are not absolute and may depend on the reason the information is being processed.

To exercise a right, contact info@quattro-strings.co.uk.

15. Complaints

Please contact us first so that we can try to resolve your concern.

You also have the right to complain to the Information Commissioner’s Office, the UK regulator for data protection.

16. Links to other websites

This policy applies to Quattro String Quartet’s website and activities.

Third-party websites, including YouTube and social-media platforms, have their own privacy policies. We are not responsible for how those organisations process information once you visit or interact with their services.

17. Changes to this policy

We may update this policy where our services, suppliers or legal obligations change.

The latest version will appear on this page with its updated date.
